AI adoption & technology consulting

From AI curiosity
to AI confidence

Most leaders know they need to do something about AI. Few know where to start, so nothing happens. I help schools, nonprofits, and small businesses take a clear first step: assess where you stand, build governance that fits your mission, and train your people to actually use what you adopt.

The problem

Paralysis by analysis

The cost of waiting is rarely dramatic. It just accumulates quietly, month after month, while the decision keeps getting deferred.

Apollo exists to break that stall with a clear, practical starting point.

Staff use AI unevenly, with no shared guardrails and no agreement on what is acceptable.

Competitors and peer organizations move first, and the gap gets harder to close.

Risk sits unmanaged, and more importantly, unnamed. No one has written down what could go wrong.

Tools get purchased, then quietly go unused, because nobody was trained on how they fit the actual work.

Five ways to work together

No two organizations start
in the same place

Pick the entry point that fits where you actually are. Every engagement is scoped to a solo-practice pace: focused, time-boxed, and built to hand off.

AI readiness assessment

A clear picture of where you stand: tools already in use, staff readiness, policy gaps, and the real barriers to adoption. You get a written assessment with prioritized next steps, not a vendor pitch.

$1,5001 to 2 weeks

Ethical use policy development

A facilitated process to draft, review, and finalize governance for how AI gets used in your organization. Grounded in your mission and built with your own stakeholders, not copied from a compliance template.

$5,000 to $10,0003 to 6 weeks
Scaled by organization size and number of stakeholder sessions.

Adoption workshops

Hands-on training that meets your staff at their actual comfort level, from skeptical to enthusiastic. Built around your workflows and the tools you already have.

Half-day session$2,000
Full-day session$3,500

Implementation advisory

An ongoing thought partner and hands-on builder as your adoption matures, not just recommendations. A typical engagement runs up to 15 hours a month of advisory access: calls, async, and hands-on builds.

Scoped to your needs3-month min
Priced by monthly hours and the level of support you need.

Process efficiency audit

Where AI can save real time and cost in the work you already do. Available audit-only, or paired with hands-on implementation.

Audit only · 1 to 2 wks$2,500
Audit + implementation · 60 to 90 days$8,500
Bundle the audit with the AI Readiness Assessment: $3,500 combined.

What this looks like in practice

Real automation built for clients using AI tools your team can maintain. Assembled with Zapier, Make, n8n, and Claude-based workflows. No developer required, and no custom software to keep alive.

Automated reporting
The numbers that matter, pulled from tools you already use and delivered on a schedule. Nobody rebuilding a report by hand.
Smart routing
Email, forms, and tickets sorted and flagged by rules you set, so nothing urgent sits buried in a shared inbox.
Knowledge-base assistant
Instant, accurate answers pulled from your own policies and procedures instead of digging through folders.
Vendor-agnostic
ChatGPT, Claude, Copilot, Gemini, NotebookLM. I teach the tools that fit how you work, not a product I am paid to push.

How engagements start

Starting always feels
like a big leap

So every engagement here begins with a low-risk step. You should know what you are getting into before you commit to anything.

1

A conversation

A no-pressure call to talk through where you are and what is actually possible. No deck, no pitch. If Apollo is not the right fit, I will say so.

2

Assessment or audit

A focused, time-boxed look at your specific situation: readiness, workflows, or policy gaps. You get a written deliverable you own, whether or not we continue.

3

Implementation

Hands-on work to put the findings into practice, with training so your team can carry it forward without me.

Practical implementation,
not theory

Wade Long is the founder of Apollo Systems Consulting, an AI adoption and technology consulting practice on the Gulf Coast.
